Terms of Service
Effective date: 05/12/2026
These Terms of Service ("Terms") govern your use of Vault, a workspace-based secret management and operational documentation platform for engineering teams.
1. Service Provider
Vault is provided by:
SMARTSOURCE Dawid Senko ul. Elżbiety Zawackiej 3 66-400 Gorzów Wielkopolski Lubuskie, Poland Email: contact@elmiva.com
By using Vault, you agree to these Terms.
2. The Service
Vault allows engineering teams to:
- store and manage sensitive credentials;
- organize operational runbooks, articles, internal documentation, and rich-text content;
- control access to secrets and documentation within workspaces;
- maintain audit history around secret access, rotation, permission changes, and collaboration workflows.
Vault uses a server-side collaboration model with workspace-scoped permissions. Secret values are encrypted on the server using AES-256-GCM, with per-secret data encryption keys wrapped by Google Cloud KMS.
Vault does not provide end-to-end encryption, client-side encryption, or a zero-knowledge architecture. The master password feature is a UI lock and is not a backend authorization or encryption boundary.
3. Accounts and Workspaces
You must maintain accurate account information and keep your credentials secure. You are responsible for activity performed under your account.
Workspace owners and administrators are responsible for managing workspace members, roles, permissions, and seat usage. You may not sell, lease, transfer, or share your account with another person or organization except as expressly allowed by Vault.
4. User Content
You and your workspace users may create and store operational documentation, articles, runbooks, secret metadata, and related workspace content.
You retain ownership of your content. You grant Vault the limited rights needed to host, process, secure, back up, display, and transmit that content for the purpose of providing the service.
You are responsible for ensuring that your content and use of Vault comply with applicable law and these Terms. You are also responsible for maintaining appropriate backups and for evaluating whether Vault is suitable for your operational and security requirements.
5. Acceptable Use
You must not:
- sell, transfer, sublicense, or provide unauthorized access to accounts;
- attempt unauthorized access to Vault, other accounts, workspaces, secrets, systems, or networks;
- bypass or interfere with permissions, authentication, rate limits, audit logging, or security controls;
- upload, store, or distribute malware, illegal content, or content that infringes others' rights;
- interfere with the integrity, security, performance, or availability of Vault;
- use Vault to attack, scan, overload, or disrupt any third-party system;
- misrepresent your identity or workspace authorization.
We may suspend or terminate access if we reasonably believe these Terms have been violated, if required by law, or if needed to protect Vault, users, or third parties.
6. Billing and Payments
Paid subscriptions and seat management are processed through Stripe. Supported payment methods are Visa, Mastercard, and American Express, subject to Stripe availability.
Workspace owners can manage or cancel subscriptions through the billing section of their Vault account using Stripe Customer Portal integration where available.
Subscription access, seat quantities, taxes, payment failures, renewals, cancellations, and refunds may be handled by Stripe and the billing settings available in Vault. You are responsible for maintaining valid billing information.
7. Third-Party Services and Links
Vault uses or links to third-party services including Stripe, Google authentication services, GitHub, external documentation, and support resources. Your use of those services may be governed by their own terms and privacy policies.
Vault does not display third-party advertisements.
8. Security and Availability
Vault is designed with workspace permissions, server-side authorization, encrypted secret storage, rate limits, and audit logs for security-sensitive events.
No online service can guarantee uninterrupted availability or absolute security. Vault may be unavailable due to maintenance, operational issues, third-party service outages, security work, or changes to the service.
9. Copyright Infringement Reports
If you believe content in Vault infringes your copyright, send a notice to contact@elmiva.com with:
- your name and contact details;
- a description of the copyrighted work;
- a description of the allegedly infringing content and where it appears;
- a statement that you have a good-faith belief the use is not authorized;
- a statement that the information in your notice is accurate.
We may remove or restrict access to content when legally required or when we reasonably believe it infringes rights.
10. Termination
You may stop using Vault at any time. If you have a paid subscription, cancellation should be managed through the billing section of your Vault account.
We may suspend or terminate your access if you violate these Terms, create security or availability risk, fail to pay applicable fees, or if required by law or court order.
11. Limitation of Liability
To the maximum extent permitted by law, Vault and SMARTSOURCE Dawid Senko are not liable for indirect, incidental, special, consequential, punitive, or lost-profit damages, or for loss of data, business interruption, unauthorized access, or service unavailability.
Our total liability for claims relating to Vault is limited to the amount you paid for Vault during the 6 months before the event giving rise to the claim.
12. Changes to These Terms
We may update these Terms from time to time. Users will receive email notice before material changes become effective, with at least 7 days' advance notice.
Updates may take effect immediately when required for security updates, bug fixes, legal compliance, or court orders.
